Cezanne HR, the leading provider of Cloud HR software for mid-sized and growing businesses is delighted to announce the availability of a brand-new tool for HR professionals, an easy-to-use form builder with configurable workflow authorisations built-in.

Available to existing customers as a free update to the core Cezanne HR People module, the new feature lets HR professionals easily put together sophisticated forms using drag and drop functionality that can be used for internal HR record-keeping, or routed through approval processes.

John Hixon, Director of Research and Development comments: “With the constant flow of requests that come in from across the business, it is all too easy for HR teams to get swamped by day-to-day administration.”

“With this release, we are aiming to eliminate the need for paper forms and manual approval processes altogether, and give HR more time, and more control.”

Fully-functional and flexible

The new feature supplements the functionality already available in Cezanne HR, allowing HR professionals to set up forms that reflect their specific business processes for virtually any kind of activity, from requesting travel loans to back to work interviews or requests to buy or sell holiday.

They can define who the forms are available to, who has rights to edit or authorise them, and who should be involved in the approval processes. This means that forms can be targeted at workforce-wide activities; focused on specific groups of employees, perhaps to allow managers to provide input on pay-rises or promotions; targeted at company divisions or international locations; and used for a simple one-step sign-off, or in situations where a multi-step approval process is required.

A better experience for employees

Employees now benefit from their own ‘Form Hub’, where they can go to find the forms they need, and check on the status of any they’ve already submitted.

As forms are completed, they are automatically routed through the appropriate approval cycle; triggering email notifications and updating task inboxes in real-time. Everyone saves time, and activities are much less likely to get overlooked.

An enabler for GDPR compliance

With GDPR requiring that HR not only keep their employees’ personal data safe but be able to demonstrate that they know where it is held, centralising data in this way will be a significant benefit for already over-stretched HR teams.

The new feature also provides HR with much greater control and insight into the data they are collecting. “With HR able to check back on form history, generate reports and – if required – output data using the open API, our goal is to ensure the new feature is as flexible and useful to our clients as possible.” John, concludes.
